A purchasing need can enter the system through four different channels: enter products and quantities with a manual form; import a bulk list via Excel/CSV upload; bring existing documents in with PDF import; or let AI mail parse automatically read an incoming supplier or customer email and create a purchase request from it. With every method, the data is converted into the same standard format.

Requests are sent to the AI. For every product line, the AI predicts the category, fills in missing unit details, normalizes product codes and compares them against your stock data. The user approves or corrects the AI's suggestions with a single click. Recurring corrections teach the system over time.

For each request entered into the system, the AI automatically determines the category and recommends suppliers for that category. You can send a request for quotation to your chosen suppliers individually or in bulk. Each supplier receives a unique, encrypted quote link delivered through the integrated mailbox. Suppliers don't have to register on the platform — they open the link, add prices, lead times and documents per product, and submit. Every response lands in Procumare in real time.

Incoming quotes are lined up side by side in a single table. The user sets the price weight, lead-time weight and quality weight with sliders; the system calculates the weighted total score and highlights the winner. Comparisons can be saved and reused as a reference later, and exported as PDF.

When placing an order on the selected quote, manager approval can be required. The manager approves or rejects, and can add a note if needed. Routing happens automatically based on amount thresholds: small amounts are processed instantly, while larger ones are escalated to the relevant manager as a notification. Every action is recorded in an audit log — who made which decision, and when.

Suppliers you haven't worked with yet appear in the External Supplier Pool. Add any company you like to your own supplier list with a single click. You can also publish your purchase request on a public board, allowing suppliers who are registered on the platform but whom you haven't met yet to submit quotes — keep the door open for new partnerships at all times.

A Purchase Order (PO) is generated automatically from the approved quote. The supplier is notified, and delivery is awaited. Partial deliveries are supported — the supplier reports which line items have shipped through the supplier portal, and the system tracks progress. Multiple shipments are supported.

Once the order is received, a proforma or invoice is created with a single click; the PDF is generated automatically and can be sent by email.
